Terms & Conditions

Bookings, Payments & Retainer Fee

  • Your booking is not confirmed until you have paid a retainer fee and received a booking confirmation email from us.

  • A £50 non-refundable retainer fee is required at the time of booking the Booth.  The remaining balance is due 14 days prior to your event unless a 'Cash on Arrival' term has been agreed between both parties.

  • Any bookings made within 14 days of the event will require full payment at the time of the booking.

  • Payment can be made via Bank Transfer, Debit/Credit Card, PayPal or Cash. 'Cash on Arrival' means cash payment MUST be made before the booking begins.  We will not begin the booking UNTIL full payment has been made.  If this eats into the hirer's booking time, we will not be held responsible and will finish at the pre-agreed time as normal.

  • Cancellation requests must be made in writing/email.  Retainer fees are non-refundable and will not be returned upon cancellation.  Any cancellation made 28 days or more from your event, you will receive a full refund of any monies paid, less the retainer fee.  Any cancellation within 28 days of your event may result in only 50% of any monies paid, less the retainer fee, being refunded.

  • Advertised prices/offers are subject to change without notification until your booking has been confirmed.




  • It is the Hirers responsibilty to obtain permission from their venue to use the Booth and to make sure there is sufficient space at the venue to set up the Booth.

  • Please ensure there is clear access to load and unload at the venue and there is access to a plug socket close to the set up point.  We require a completely flat and level surface.

  • Where possible, please avoid having us near the DJ's, Bands or Speakers so we can interact with your guests without the need to shout.

  • Please inform us of any circumstances that would make setting the Booth up more demanding, including going up stairs, long distances from unloading area to venue etc.  We allocate a set period of time for setting up our equipment at your venue which is included within the price, but if there are any complications that are not made known to us beforehand then unfortunately this will come out of the run time.  We will not provide the Magic Selfie Mirror Booth at any venue if more than 4 steps have to be climbed due to the weight of the Mirror.

  • The Booth, props and any other equipment used will remain the property of occasions4ever at all times.  The Hirer will be liable for any loss or damage caused by guests.  We may, at our discretion, remove props or other items to avoid misuse/loss.

Hire Time

  • Once booked, a start and end time must be given so that we may plan our arrival in advance.  We will aim to be at the venue approximately 60-90 minutes (depends on type of Booth) before the agreed booking time.

  • In the event that the Booth is not ready to commence at the agreed time due to our fault, then we will still give you the agreed hire period by extending the finishing time of the hire.  In the event that the hire does not start at the agreed time, as setup has been delayed due to any unforeseen circumstances that are no fault of occasions4ever, then the hire will still end as per the agreed time on the booking.  In the event that we have set up in time but the hire does not start at the agreed time due to over running of previous activities by you or venue, the hire will still end as per the agreed time on the booking.

  • occasions4ever cannot be held responsible for any circumstances that may prevent us from attending your event, these may include but are not limited to severe weather conditions, traffic delays, breakdown of our vehicles, sickness or equipment failure.  In the case that we cannot attend or fulfil your hire due to events beyond our control we will contact you or the venue as soon as possible.  In these instances our liability will be limited to refunding all of the monies paid

  • If you require the use of the Booth for a time period in excess of the agreed rental period, the extra rental time will be billed to the Hirer at the following rate of £75 per hour.  Payment for any extra time must be paid before any additional hours are provided and is subject to agreement by the venue and us.  This is completely left to the discretion of our attendants.

Guest Management

  • It is the Hirers responsibilty to maintain suitable crowd control and behaviour of guests.  occasions4ever will not tolerate any abuse or threatening behaviour to our staff.  If this does occur, occasions4ever are within their rights to terminate the hire.  We are providing a service to yourselves and guests and therefore feel that our staff should be treated with the respect they deserve.

  • occasions4ever are also within their rights to terminate a hire if they feel that any equipment or property belonging to occasions4ever is in danger of getting damaged or has been damaged due to unruly behaviour from guests.  We also reserve the right to refuse guests admission to the Booth if we feel they are too drunk, unruly or abusive.

  • In any instances where we feel there is a need to terminate the hire we will always speak with the Hirer first to try to resolve the matter before terminating.  If we do have to terminate the hire due to reasons stated above, the full cost of the hire is still payable and we will not issue any refunds for hire time that has been cut short.

Liability and Insurance

  • Our attendant/s will remain with the Booth throughout the booking, to help prevent damage and ensure the guests enjoy themselves.  In the event that a guest does cause damage or loss, the Hirer will be held responsible and we reserve the right to claim for any damages or loss of business.

  • We accept no liability for any damages/loss of property/injury caused by a misuse of our equipment.

  • Where a Guest Book is being created, we cannot be held responsible for damage/loss caused by guests ie. drink spills.

  • Children must be supervised by an adult at all times when using the Booth and we may refuse admission to the Booth if an adult is not present with them.

  • We have Public Liability Insurance up to £10 million (click HERE to view the certificate) and all our equipment is PAT tested annually (available upon request).

Social Media and Advertising

  • occasions4ever may use any of the photographs/videos from your event for suitable means, this includes but is not limited to advertising and promotional material either in print or on the internet.

  • Attending your event would mean we are of the understanding that permission has been granted to do so by yourselves and your guests.  If any guest objects to us using their photographs, they must inform us prior to using the Booth.
